Scientific supervision of the doctoral student
If you have a doctoral student or are planning to take on one, here is some useful information.
Mandatory funding for doctoral students of at least €1.768 per month for three years (for 2025)
- I do not have funding to pay the doctoral student, I am applying for a contrat through the doctoral school competition or through targeted contracts
- I have funding to pay the doctoral student, I am following the non-competitive application precedure
Authorisation to supervise research in order to become a thesis supervisor
The Habilitation à Diriger des Recherches (HDR) is a national higher education diploma that can be obtained after a PhD. It is awarded by institutions (Lyon 1, INSA, ENS, etc.).
It is defined by regulation in the decree of 23 November 1988 on the habilitation to supervise research. This qualification allows the holder to officially supervise doctoral students as a thesis supervisor.
‘Obtaining this qualification recognises the candidate's high scientific level, the originality of their approach in a field of science, their ability to master a research strategy in a sufficiently broad scientific or technological field, and their ability to supervise young researchers.’
The HDR also allows you to apply for a position as a university professor.
_ If you have an HDR, you can be a supervisor.
I check on ADUM that my HDR is properly registered. If not, I return my diploma to the secretariat for modification.
_ If you do not have an HDR: you can request an exemption from your institution
Only one exemption is authorised by the EDISS. With this exemption, the supervisor also undertakes to support the HDR before the end of the thesis in question.

Responsability of thesis supervisor / co-supervisor
The thesis supervisor (affiliated with EDISS) is responsible for the scientific direction of the thesis project and for ensuring that the thesis progresses smoothly with regard to the doctoral school, the doctoral student's institution of enrolment and the doctoral student. The latter therefore carries out this work under the supervision and responsibility of the thesis supervisor.
Article 16 of the decree of 25 May 2016 on doctoral training specifies the duties of the thesis supervisor.
The doctoral charter, signed by the thesis supervisor and the unit director, sets out the conditions for monitoring and supervising doctoral students (for UCBL, the charter is available in electronic form on ADUM).
The co-supervisor is involved in the completion of the thesis.
The EDISS Council has set a maximum number of 4 doctoral students per supervisor, within the limit of a 300% supervision rate. The minimum supervision rate for supervisors for a doctoral student is 30%.
The maximum number of supervisors per doctoral student (including the thesis supervisor) is 3.
Key stages for your PhD student
Doctoral students have access to the ‘doctoral student pathway’ tab, which contains information that may be of interest to you.
_ Registration can be completed according to the schedule available on the ‘registration’ tab.
_ In the first year, doctoral students will be invited to a mandatory meeting for students enrolled in D1. If a student enrols after the meeting or is unable to attend, they will be invited to D2.
_ Regardless of the start date of the employment contract, doctoral students will enter their second year in October N+1 and so on for each subsequent year.
_ Before applying for re-enrolment, doctoral students must have completed a CSI.
_ Training courses are compulsory during the thesis.
_ A presentation in the form of an oral communication or poster at the EDISS Scientific Day (JEDISS) is mandatory at least once during the thesis.
_ One or more publications are mandatory during the thesis.
_ Mobility may be accepted only if your doctoral student leaves via a mission order and a hosting agreement. (see conditions here)
_ A change of supervisor is possible either during the thesis using the form, or during the CSI
_ In D3, your doctoral student will be invited to a meeting concerning thesis defences.
ADUM - doctoral student management software
At any time, you can log in to the ADUM application to validate your doctoral student's registration or thesis defence panel, validate your doctoral students' doctoral charter, view a summary of all your supervisory roles (since September 2024), and view information about the doctoral students for whom you are a member of the CSI.
NB: if your doctoral student receives the following message: ‘The data you have entered does not meet our requirements. Please modify it and resubmit your file when you have done so’, this means that your doctoral student has already received an initial email from the secretariat indicating the changes to be made and that these changes have not been made.
