Individual PhD follow-up commitee (CSI)

The documents related to the CSI should be sent to EDISS by September 30th, 2025 at the latest for a 2025/2026 enrollment, regardless of the date of (re)enrollment in 2024/2025.

The role of follow-up committee

The Individual Follow-up Committee (CSI) is an individual support system that should not involve a heavy workload for either the doctoral student or his or her supervisor. During these meetings, CSI members assess doctoral training conditions, research progress and preparation for future career development. Strictly scientific aspects (scientific rationale, hypotheses, strategies, results) are not the main focus of these discussions, although they are addressed and discussed.
 
It meets at least once a year until the thesis defense. It is compulsory for re-registration in the next year.
 

Composition of the individual follow-up committee

The CSI is made up:
  • the PhD supervisor and any co-supervisor and if the PhD student is funded by a CIFRE, of a representative of the company if he/she is not one of the co-supervisors officially declared in the application file and on ADUM
  • two members external to the Phd project (see below), one proposed by the PhD student and the other one by the PhD supervisor :
- One member, external to the PhD project, to EDISS and to the laboratory of the PhD student, who will chair the CSI
- One member, external to the PhD project and to the team of the PhD student* and his/her supervisor and co-supervisors, possibly from the laboratory of the PhD student. 
          * The teams taken into account by EDISS are those validated by the HCERES.
          - One of the members must have an HDR (habilitation to direct research).

Co-authors of publications of  his/her (co-)supervisors and co-inventors of patents involving the PhD student and his/her supervisor and co-supervisors cannot be members of the CSI. 

Researchers working in foreign institutions may be members of the CSI subject to approval by the Director of EDISS. Their CVs must be attached to the request. 

The composition and declaration of interest forms must be returned to the EDISS secretariat (secretariat.ediss@univ-lyon1.fr) in pdf format by May 23, 2025.

 

Please note : External members of the CSI may be examiners of the defense jury BUT NOT REVIEWERS.

CSI meeting

Before the CSI (at least 2 weeks before the meeting)
_ He writes a 2-3 page report on the progress of his thesis
_ He completes his portfolio
_ He downloads the CSI report and completes the "doctoral student and articles" sections
_ He downloads the report on validated training courses from ADUM
_ He downloads the interview grid
_ He sends all these documents to the members of his CSI

The CSI can be organized by videoconference:
_ Presentation by the doctoral student of a slide show on his or her academic career, the rationale behind the research project, the strategies adopted, the main results obtained and their valorization, the supervision arrangements, the thesis timetable, the training courses followed, any mobility, the skills assessment, and the preparation for the post-thesis period. A reasonable length for the presentation is 20 to 30 minutes
_ Answers to questions from CSI members
_ Interview by CSI members with the doctoral student in the absence of the thesis director and any co-supervisors
_ Interview by CSI members with the thesis director and any co-supervisors in the absence of the doctoral student

After the CSI
_ The CSI members draw up the report based on the information gathered and send it to the doctoral student and his thesis director
_ The doctoral student applies for re-registration on ADUM and uploads, in this order, the CSI report, the report on the training courses attended and the 2-page report in a single .pdf file 
_ The doctoral student fills in the confidential annex and sends it by e-mail to the secretariat (secretariat.ediss@univ-lyon1.fr). This mail trigger the CSI report
_ Once the CSI has been validated, the student's pedagogical registration will be validated on ADUM.
